Ever feel like you are looking for a needle in a haystack when it comes to tracking down an event in your room scheduling software? Maybe not so much currently with COVID-19 continuing to cause the cancellation or postponement of most activities. If you are like most event planners, this has happened to you from time to time.
What makes the process of finding events more difficult than it should be is that you have to click through a bunch of forms and pages to get to what you are looking for. Some would rather simply view things in a graphical grid format that displays everything happening in a room on a given day.
The advantage of this format is that you can quickly see what else is happening in a facility for any given time. It still has it's drawbacks, however. If you are looking for something specific in the grid, it can take you a while to find it, especially if you have many events and rooms that you manage.
Wouldn't it be nice if there was a tool to help you find that needle in a Haystack? Well, now there is. We recently updated Mazévo with several streamlined tools to help you find and manage events from the book.
Using the search bar in Mazévo allows you to zoom right into what you are looking for as soon as you start typing. You can enter the event name, the organization's name or contact having the event, the status, name of a room, or even the room type.
Watch below for an example. First, I type in the name of the event. Then after that, I type in the type of room, auditorium. Notice how the grid changes based on what I am looking for.

Scrolling around can take a lot of time when you are looking for something specific. Being able to see more on a page without having to scroll is not only more efficient, but it also gives you a better sense of everything happening throughout the day. Mazévo allows you to zoom out to see more rooms and more events on a single screen.
Room Sorting
When looking for room availability, you may need to see the entire list of rooms, but having the list sorted alphabetically may be less than ideal. This is especially true if your large event spaces are scattered throughout the list. Sorting your list of rooms by maximum capacity is a simple way to keep things organized.
Finding what you are looking for should not be a cumbersome chore, especially if you are using the Event Book. Search, zoom, and room sorting will put the information you need at your fingertips and make it easier to manage your events than ever.
