Building Hours: What are They and How to Create Them

Building hours are simply the hours that a building is open for business. Events generally can not be created outside of the times that a building is open.

Overview

Building hours define the dates and times that a building is open or closed for business.  Generally, you only need to enter the hours that the building is open, however, you are able to define a building closure for an entire day.  

Building hours and closures prevent end users (requesters) from creating events outside of building hours or on a date that the building is closed.  When a requester is asking for a room outside of normal hours or on a date the building is closed, the system automatically removes the room(s) from the list of available selections.  This can result in the requester not having any options for selection.

Event planners will see a warning message that the event they are creating falls outside of building hours or on a date the building is closed, but event planners are given the option too 'override' this exception and continue to book the space.  

 

How to Setup Building Closures

To 'close' one or more buildings on a date, navigate to Settings>Building Hours and press Add Building Hours.  The following screen will appear:

  1. If this closure applies to all buildings in the system, leave the 'All Buildings' checked. If the closure applies to only specific buildings, uncheck 'All Buildings' and a tab will appear where you can select which buildings to close.
  2. Next, Check the Closed All Day checkbox. 
  3. Next, select one of the following options, Date Range or Specific Dates and enter the range or enter the specific dates for the closure. If you are using a date range, you may also select the days of the week to 
  4. Press Save.

 

How to Setup Building Hours

To 'close' one or more buildings on a date, navigate to Settings>Building Hours and press Add Building Hours.  The following screen will appear:

  1. Make sure the Closed All Day checkbox is unchecked.
  2. Enter the Open Time and the Close Time.
  3. Next, select one of the following options, Date Range or Specific Dates and enter the range or enter the specific dates. If you are using a date range, you may also select the days of the week to 
  4. Press Save.
