How to Process New User Accounts

New user accounts can be automatically created from account requests or from SSO. The new user records can be reviewed and processed using Day at a Glance - New Users.

Overview

There are two ways to create a new user account: from the Request Account form or by Single Sign On (SSO).  

The Request Account form is a feature activated by Mazevo Support. To use this form, you need a vanity URL for your users to log into Mazevo. A vanity URL would look like yourorganization.mymazevo.com, where yourorganization would be unique to your system. New users will see the Request Account link displayed on this login page. You can also customize a login message for your users.

If your system uses SSO, you don't need to use the Vanity URL login page.  However, you can if you have a mix of users outside the valid SSO domains (external users). When users, including new ones, enter their organization's email and click Next, the system routes them to their organization's SSO login page.  After supplying the password, they will be returned to Mazevo. Mazevo will create a new user record for new users the first time they log in.

Processing New Accounts

Administrators should review the new user accounts and mark them as processed.  During this review process, you can change or set the user's security policy and the organizations that the user will use when making a new request. For non-SSO users, the administrator must send an invitation to set an initial password.

To process a new account request:

  1. Navigate to Day at a Glance > New Users.  You can also navigate to Settings > Users and select Show New Users Only.
  2. From the grid, click on Process to process the new user account.Processing new account requests
  3. The notes displayed were entered by a non-SSO user. You can leave the notes, or check Clear Notes to remove them from the user's account.
  4. Select a Security Policy for the user.Processing a new user account request
    The user will be configured as a View-Only requester if no policy is selected.
  5. Select one or more Organizations to be associated with the new user. If the organization requested is not in the dropdown list, you can press Add Organization to create a new organization record.  This opens the add organization form in a new browser tab.  After creating the new organization, press Refresh to update the dropdown list with the new organization.
  6. If you want to clear the notes field, select Clear Notes.
  7. Press Save.

After processing the new user, the system will send a welcome email to the user.  The email is optional and can be configured under Account Settings > Emails.
