Published Reports: What They Are and How to Use Them

Publishing a report is a simple way to save report filters and date parameters, allowing other users to run the report without having to configure the report setup. Published reports can also be shared via an emailed link.

Overview

Generating a report in Mazévo is simple, but running reports may intimidate untrained or novice users. To help make reporting even more accessible for all users, Mazévo allows you to "publish" a report. 

Publishing a report saves the report setup information, including the date range and filtering criteria, and allows another user to click on the saved report to run it. In addition, users can subscribe to a report, which will send them an email with a link to the report daily.

 

How to publish a report

1) Select the report to be published.

2) Set the date range for the report.

3) Set the filtering for the report.

4) Press Publish.

5) Enter a Report Description (or name) for the published report.

6) Indicate whether the report is Available To Other Users with report viewing access. Leaving the box unchecked will make the report private and only available to the user that published it.

7) Press Save.

Reports That Can Be Published

The following reports can be published in Mazévo:

  • Daily Operations Report
  • Event List
  • Rooms Cards
  • Service Order Form
  • Daily Log Report
  • Analytics
  • Revenue Analytics

Emailing a Published Report

You can email a URL/link to a user for each published report. The email recipient needs to have the Event Reporting Viewer security role. The recipient can run the report by clicking on the link in the email, and the report will be generated with the most up-to-date information when the link is pressed.

To email a report link:

  1. Navigate to Reports > Published Reports.
  2. On the list of reports, locate the report you want to send and press the Email Link.
  3. Next, select a user from the drop-down list and press Send.

Editing a Published Report

The owner of a published report can edit the settings of a previously published report by going to Reports > Published Reports and selecting Edit Report for the appropriate report to be revised. Then, after making the desired changes to the report setup information, press Save to update the report.

Copying the Report Link

To copy the link to a report, go to Reports > Published Reports and select Copy Link for the appropriate report. This link can then be sent to another user.

Subscribing to a report

When you subscribe to a report, you will receive a daily email with a link to the report. After subscribing to a report, the link will change to unsubscribe. Any user accessing Published Reports can subscribe to any publically available report. The owner of the report can also subscribe to any of their reports, public or private. 

Managing the list of subscribers

As a report owner, you can manage the list of users subscribed to your reports by pressing the icon in the grid and selecting (or unselecting) the users that will receive the report. The users on the subscription list will receive an email on the designated days with the link to the report. You can select users from a list of Mazevo users or manually enter an email address using the Add Email button.

Security Considerations

You must grant users the Event Reporting Viewer security role to run published reports. This role is separate from the Event Reporting Publisher role, which allows users to configure, run, and publish reports.

 

Report subscriptions will not be sent to inactive user accounts.

Report Subscriptions will also not be sent for reports with an owner who is inactive or no longer has the reporting roles. These report records will be highlighted with an inactive icon.
