This release introduces several enhancements for academic scheduling teams, with a particular focus on final exams, optimization, and room assignment. We've also made a number of improvements to approvals, configuration options, and everyday workflows throughout Mazévo.
Many of the improvements in this release came directly from customer suggestions. Thank you for the feedback you continue to share with us.
Academics
Reuse standard final exam schedules across terms
What Changed
Mazévo now allows you to define standard final exam schedule templates based on course meeting patterns such as meeting days and start times.
For example, you can define a rule that a Monday/Wednesday/Friday course meeting at 10:00 AM should have its final exam on Wednesday of exam week at 10:00 AM. Once these patterns are configured, they can be applied to all matching courses in the current term or any future term with a single action.
Previously, final exam schedules had to be identified and assigned course by course each term.
Why It Matters
Many institutions use the same final exam schedule structure from semester to semester. This feature reduces repetitive work by allowing schedulers to define those rules once and reuse them whenever needed.
This helps save time, improves consistency, and reduces the likelihood of errors that can occur when assigning final exams manually.
Update final exam assignments after publishing
What Changed
You can now make changes to final exam bookings after the exam schedule has been published.
Updates can be made to:
- Date
- Time
- Location
Previously, once a final exam was published, the booking could no longer be modified.
Why It Matters
Final exam schedules sometimes require adjustments due to room conflicts, operational needs, or academic scheduling changes. This update gives schedulers the flexibility to make those changes without recreating the exam schedule.
Keeping published exam information up to date helps ensure students, faculty, and staff are working from accurate information.
Optimize individual courses instead of entire groups
What Changed
The Optimizer now allows you to select and optimize individual courses.
Previously, optimization could only be run for all courses or for all courses within a specific subject. With this update, you can target specific courses that need attention without including unrelated courses.
Why It Matters
This gives academic schedulers more flexibility when working through scheduling challenges. Instead of re-optimizing a large collection of courses, you can focus only on the courses that require changes.
This reduces unnecessary work and allows for a more targeted optimization process.
Filter optimization results by day and time
What Changed
New Day of Week and Start Time filters are now available in the Optimizer.
Previously, there was no way to independently filter courses using these criteria.
Why It Matters
This makes it easier to focus on specific scheduling scenarios and identify opportunities within particular days or time ranges.
The additional filters help reduce the time spent reviewing large course lists when working on room utilization or schedule adjustments.
Identify courses that require recording
What Changed
A new Course Recording flag is available for institutions that integrate Mazévo with course recording systems.
Courses that require recording can now be identified directly within Mazévo. Organizations interested in enabling this functionality should contact Mazévo Support.
Why It Matters
Having a dedicated recording indicator helps departments identify courses that require special handling and improves visibility for academic and technology teams responsible for supporting recorded instruction.
Use consistent filters for final exams and optimization
What Changed
The Final Exams screen now includes the same enhanced filtering capabilities that were recently added to the Optimizer.
Why It Matters
Using a consistent filtering experience across both areas reduces the need to learn different workflows and helps schedulers find the information they need more quickly.
Assign any room directly from the Course Editor
What Changed
When assigning a room from the Course Editor, you can now choose between:
- Showing Available Rooms Only
- Showing All Rooms
Previously, rooms with existing event bookings could not be selected because they appeared unavailable. With this update, you can display and select all rooms, including those with scheduled events. If a course is assigned to a room that contains an event booking, the course assignment will take precedence when processing occurs.
Why It Matters
This provides more flexibility when resolving room conflicts and managing classroom assignments.
Schedulers can make room decisions directly from the Course Editor without being limited to currently available spaces.
Secondary approvals
View complete responses and question history during approvals
What Changed
Secondary approvers can now click on an event question to view the full answer.
This is especially helpful for long responses that were previously difficult to review. Approvers can also view the history of changes made to an event question answer.
Why It Matters
This improves visibility during the approval process and reduces the need to guess whether information has changed.
Having access to complete responses and answer history helps approvers make more informed decisions.
Find approval resources and questions faster
What Changed
A new search bar has been added to My Approvals on both the Resources tab and the Event Questions tab.
Why It Matters
When approvals contain many resources or questions, finding a specific item can take time.
Search helps approvers quickly locate the information they need and process approvals more efficiently.
Search predefined questions before adding them to an approval
What Changed
Organizations that allow secondary approvers to add additional questions can now search the list of predefined questions before selecting one.
Why It Matters
This reduces scrolling through long lists and makes it easier to find the correct question, particularly for organizations with extensive question libraries.
See booking dates when reviewing approvals on mobile
What Changed
When viewing My Approvals on a mobile device, the booking date is now displayed directly in the approval view.
Previously, users needed to open the booking to see the date.
Why It Matters
Approvers can review bookings more quickly from a mobile device and gain important context without opening each individual approval.
Scheduling and configuration
Start event requests in your preferred building
What Changed
The Requester Event Book now honors the user's building preference when the page loads.
Previously, requesters always had to manually select a building before continuing.
Why It Matters
This streamlines the booking process for users who frequently work within the same facility and reduces the number of steps required to create an event request.
Choose whether to receive invoice BCC copies
What Changed
Users can now decide whether they want to receive a BCC copy of invoices sent through Mazévo.
Previously, a BCC copy was always sent to the user.
Why It Matters
This gives users greater control over their inbox and helps reduce unnecessary email messages for those who do not need a duplicate copy.
Write longer scheduled email messages more easily
What Changed
When configuring a scheduled email, the message field can now be expanded by clicking and dragging the corner of the text area.
Why It Matters
A larger editing area makes it easier to review and compose longer messages without excessive scrolling.
More clearly identify disabled rooms and resources
What Changed
Disabled rooms and disabled resources are no longer displayed when configuring resource exclusions for a room.
Why It Matters
This removes inactive items and helps reduce confusion when reviewing room configurations.
Bug fixes
Operations and event management
- Fixed an issue where the Day at a Glance task tile could exclude tasks linked to bookings without booked space.
- Fixed an issue where very large event import files could fail to import successfully.
- Fixed an issue that allowed requesters to create events in the past through the Requester Event Book.
- Fixed search behavior for the Service column in Manage Ops.
Academics
- Fixed an issue where re-importing a term did not always display the Import button correctly.
- Fixed an issue where processing a term could update the Last Imported Date incorrectly.
- Fixed several visual issues in Course Editor booking history.
Reporting, views, and communication
- Fixed an issue where saved views in Find Events did not always honor the VIP filter selection.
- Fixed an issue where scheduled email messages did not always preserve single-line spacing correctly.
