Improved Room Availability Tools and New Email Address Book

New reasons for room non-availability

Mazévo will now let your requesters know why a room is not available to request. Reasons include room in use; the request is outside of building hours, the attendance is below the minimum required for the room, The attendance is over room capacity, and more. These reasons appear under the "unavailable rooms" tab. Previously Mazévo would not display rooms that were unavailable for these reasons. 


New Email Address Book Feature for Sending Confirmations

Mazévo will now remember any email address you manually add so you can use it again later without having to retype. 


New Organization Notes

You can now log notes for an organization. These notes will be visible to other event planners. 


New Organization Alerts

You can now add alerts to organizations. These alerts will display when an event planner creates a new event or opens an event for that organization. 


See List Of Bookings in the Event Book

You can click the name of a room in the event book, and it will now show you a list of all the bookings happening in the room. This is helpful if you have bookings "stacked" on top of each other and want to see what they are. 


The Number of Bookings Displayed in the Event Editor has been Increased

By default, the event editor will show the first 100 bookings. Previously it showed the first 30. 


The Number of Resources Displayed in the Event Editor has been Increased

By default, the event editor will show the first 100 resources. Previously it showed the first 30.


The Option to Define a New Shared Room has been Removed

This function is replaced by the Always Available setting on the room. 


Message Length Increased to 500 Characters

The length of messages has been increased to 500 charters from 256. There is also a new dynamic character counter that shows you how long the message is as you type. 



  • We fixed a bug that caused Mazévo to not function properly if your web browser was set to use languages other than English by default.
  • The public calendar was not displaying the filter tab properly. This has been fixed
  • Find events was not resetting the filters when you switched between Standard, Advanced, My Views, or Public Views. This has been fixed
  • Other various bug fixes

September 2021 Updates to Mazévo Ops & Other Scheduling Changes

Mazévo Operations Changes

In this update, we show some love to those who use the operations functions in Mazévo with a few things that will make your job easier.


Schedule Work Items for Multiple Dates.

You can now enter a work item that regularly repeats, daily, once a week, etc. Previously you had to enter them one-by-one


Copy Work Items

Do you have a work item with a lot of notes? You can now copy it to a new date instead of manually re-entering.


New Work Item Indicator

If you are looking at Operations in Mobile or Manage Operations from the web, you will see a new indicator for work items on a specific day. You no longer have to click the work item tab first to see if work items are on that day.


View My Work for Service Managers

From Operations on mobile, those with the service manager role can now filter to see work that has been assigned to them. Previously only those with the worker security role could do this.


Improved View of Event Times in Manage Operations

The way that times are displayed in Manage operations on the web now shows setup and teardown time in the list of events (grid). The pop-up also now includes customer access time. 


Customer Access Time Visible in Mobile Operations

Mobile operations users can now see customer access time. Previously Mazévo included customer access time in the setup time, but a mobile user could not see it.


Event Number Visible to Operations Users

The event number now displays in Manage Operations and Review Events on the web and mobile.


Other Changes

Add New Contact From Event Editor

When changing a contact for an event, you can now add a new contact from scratch. Previously you would have had to go to contacts and add the contact, return to the event editor, refresh the page and finally select the new contact.


Find Events Export - Event Number is Now Exported

When you export your Find Events results to Excel, there is a new column for the Event Number. Why this wasn't there before is a mystery to us. 😎


Requests - Better Handling of Room Setups for Alternate Rooms

Recently we introduced a feature for requesters that allowed them to select an alternate room when their preferred room isn't always available during a series of dates. This could cause problems if they chose a setup style that was only available in their preferred room as Mazévo would also assign that setup style to their alternate. Now when they select an alternate space, if the setup style can't be used in the alternate, Mazévo will leave the setup blank for those locations so an event planner can pick an appropriate setup style.


New Hourly Pricing Options

Mazévo now automatically calculates the price of an item based on the hours of the event or the service. Previously if you wanted Mazévo to calculate the cost of an item, it always used the number of hours an event was scheduled unless you manually entered a different number of hours.


Users - Inactivate/Activate Multiple Users.

There is a new check box next to each user record. This allows you to select multiple users that you wish to flag as active or inactive.

Users - Inactive Users Now Hidden by Default.

Inactive users will no longer appear in your list of users. You can view inactive users by clicking the filter and unchecking "hide inactive."


Event List Report Changes

There is a new organization type filter for the event list report.

The event list will now exclude private events by default. You can override this by clicking the box to include private events before running the report.

If there are no events scheduled on a day, any special dates indicated for that day will no longer display


Daily Ops Report - New Contact Phone Number

The primary contact phone number is now included in the report.


This update also includes a few minor bug fixes. 


Event Calendar Enhancements & More

New Advanced Event Calendar

The existing Mazévo calendar now defaults to an "advanced" option when viewing events. The advanced calendar works similarly to the current Mazévo calendar, but instead of listing the first three events on a day during the month, it displays the number of events on that day instead. Clicking on one or more of the days will show all those events down below. The existing calendar view is still available as the "standard view."

Other Enhancements

New Reply Email for Account Maintenance.

You can now specify an email address for account maintenance emails, such as forgetting passwords or confirming account emails. If a user chooses to reply to one of these automated emails and you have specified a "reply to" email address, you will receive the email instead of having it go into a black hole, never to be seen again.


New Building Hours Configuration Page

The configuration of building hours has been cleaned up to make it easier to understand how you have configured your building hours. If you have many building hours, you can now see columns for Building, Start date, end date, start time, end time, and closed all day. Each of these columns can be sorted and filtered.


Status Display is Now Alphabetical

When an event planner is changing status, the list of statuses now appears in alphabetical order. Previously the list was grouped by booked space statuses first in alphabetical order, followed by non-booked space statuses.


Special Dates Now Display to Requesters

When a requester chooses dates to request from the calendar, they will now see an icon indicating that one of their dates is a holiday or special date. Previously they were given no indication.

Email Confirmations Now Include Event ID in Subject Line

Previously the event ID only appeared in the body of the email.


SSO - You Can Now Limit Which Mazévo Tenants a New User is Created in.

This change affects organizations with more than one Mazévo Scheduling Department/Tenant that uses Single Sign-On (SSO) at their organization. You can now limit which tenants a new user can access the first time they access Mazévo with Single Sign-On. Previously any new user would have a user account created in all Mazévo tenants at your organization.


Bug Fixes

The following issues have been fixed in this release.

  • You can no longer assign a disabled contact to an organization.
  • Post-event scheduled emails were not sending. They are now.
  • PDF room diagrams were not opening if you changed the booking.
  • Available room searches were running slow if you had a lot of rooms with default setup & teardown times. This is much faster now.
  • Exporting the resource usage report would only give you one page of results.
  • The daily operations report was not being sorted by event setup time.
  • Resource notes were not displaying to approvers or those viewing events from the book. Both resource notes and any special instructions now show in those areas.
  • Predefined messages are now displaying in alphabetical order on the send confirmation screen.

New Time Selectors with Improvements to Operations, Reports, & Billing

New Time Selectors

We have updated the way that you enter event and setup time in Mazévo. It is now easier to enter times with your keyboard, especially when adding new events. Previously the time selector always defaulted to the current time when entering a new event. Now the time field is blank, and you can just start entering any time you wish.

We made changes to how setup time is entered as well. You now enter an actual time of day that setup begins and teardown ends rather than entering the number of minutes for setup/teardown.


Report Updates

New Setting for Number of Room Cards

If you use the Mazévo room card report, you may have rooms where you wish to print more than one room card. For instance, if there are multiple entrances to a room and you want a room card at each door. You can now set the number of room cards you wish to print for each room. This setting can be changed on the room's settings.


Edit Published Reports

You can now edit a published report while keeping the same link to the report. Previously, once a report was published, you could not make any changes to the report's settings.


Billing Updates

Optional Deposit Date

You can now enter a date that will determine when a deposit can be applied on an invoice. Designed for recurring events, a deposit date controls when you should apply a deposit to an invoice. Previously the entire amount of any deposits would often be consumed when running invoices for individual bookings.


New Applied Deposits Column on Find Invoices

There is now a column to show you the total amount of any deposits applied to an invoice when viewing a list of invoices.


Optional Organization Address on Invoices

There is now an option on the invoicing department to display the organization's address to which the invoice is being sent. This option is turned off by default.


Operations Updates

Filter Manage Operations by Assigned Staff.

An operations manager can now filter the list of bookings in manage operations on the web by the staff member that is assigned to a service


Event Coordinator Now Displays to Operations Staff.

There is a new column for the event coordinator to display on the daily operations report. The column is abbreviated as EC and displays the initials of the event coordinator if one is assigned to the event. The event coordinators Initials also show to operations staff in the Mazévo mobile app and manage operations on the web.


Teardown time now displays to Operations Staff

You can now see how much time is allocated for the teardown of an event on the Daily Operations Report, operations in the mobile app, and manage operations on the web.


Second contacts now display for operations staff.

Secondary contacts will now display on the Daily Operations Report, manage operations on the web, and the Mazévo mobile app. Previously Mazévo only showed the primary contact.


Bug Fixes

We fixed several bugs in this release including:

Fixed: Requesters were able to edit the date of their request to a date that your building was closed. Mazévo now checks to make sure they are selecting a valid date when making changes.

Fixed: Building hours were not always showing in the event book if you selected multiple buildings.

Fixed: Ops work items were showing on the wrong date. If you entered a work item for the 9th, it was displaying on the 10th.

Fixed: We fixed several bugs in the new Advanced Find Events tool that was causing data not to show up or show up incorrectly.

Fixed: The default start page was not being saved for requestors. Mazévo will now take them to their default start page rather than the main menu.

Fixed: You would get an error if you tried to view a room setup diagram in the event book if it was stored as a .pdf file.


Import Contacts and More Find Event Tools

Import Contacts and Organizations

You can now import a list of contacts and the organizations they are associated with from a text file into Mazévo.


The Amount of Text Allowed in Resource Notes is Increased.

Previously if you attempted to enter notes over 1,000 characters, you received an error.


New Advanced Find Events

The more Filter options and advanced filters have been combined into a single advanced option when using Find Events. The new advanced option allows you to view booking information or resource information and will enable you to save your filters, columns, column order, and column groupings.


Improvements to Find Courses

There is a new seat fill percentage column and new ways to filter the list of courses.


Academic Book Improvements

We recently introduced the Academic book to see courses scheduled in a room throughout the week. With this update, there have been several minor improvements to the Academic Book. You can now view other events that are also meeting in a classroom, and the color of the class or event now corresponds to its status color.


This release also includes various bug fixes.

Billing Updates

Event Editor Deposit Tab - New Deposit Filters and Export

You can now filter out your applied deposits or look for a string of text in your list of deposits on an event. You can also export all deposits on an event. 


Find Deposits Now Includes Event ID

You can now see and export a list of deposits with the event ID. Previously the Event ID was not displayed.


Other Updates

Show Notes on Invoice for Service Provider

Generally, notes or special instructions associated with a resource will not display on an invoice. There is now an option on the service provider to have the notes associated with their resources display on an invoice.


Manage Operations - New Filter to Only Show Changed Events

When reviewing bookings in Manage ops you can now limit the list to only show changed events since you last checked. 


Integration with Visix Signs

Mazévo can now send a room's schedule of events to Visix Electronic Paper Room Signs


New Room Setup Icon

There is a new question mark icon to represent a specific type of room setup.

Enhanced Statuses and More Tools for Requesters

June has been a busy month for our software developers. They have cranked out several new options and features to make your scheduling more efficient. Read on for the list of updates. 

Updates to Mazévo Statuses 

If your organization relies on statuses to help you with workflow, you probably rely on statuses to keep things running smooth. With this update, you now have more control over how your statuses work with your scheduling process and how they are used to display event information online and on reports.


New Status Settings for Advanced Security Policies

You can now select specific statuses applied to new requests, changed requests, and canceled requests. This gives you more control over which statuses are used when managing event requests than the previous method.  


New Option for Requests That Do Not Hold Space 

You can now allow requests that do not block space. This allows multiple requests for a room to "stack up" for the same date and time, allowing an event planner to determine who should be allowed to use the space. 


Event Planners Can Now Schedule Rooms With Statuses That Don't Block Space 

You can now select an event status before choosing a room. This allows you to select a status such as "Lost Business" or "Wait List" that does not reserve the space. Previously you would have had to edit the event after you entered it.  


Select Status From Approve/Deny Buttons in Event Editor

When processing a new request, pressing the approve or deny buttons will give you a choice of which approved or denied status you wish to select if you have more than one defined. Previously Mazévo chose the default status automatically.  


Updates to the Event Request Process

Requesters Can Now Distinguish Canceled vs. Denied Requests

Requests that an event planner denies will now display as "Denied" to the requester. Requests that the requester cancels will show as canceled.  


Prevent Requesters From Making Changes to Events

You can now selectively lock events, preventing them from being edited by a requester. A lock icon indicates to all parties that a requester can't change the event.

Requesters Can Now Edit Setup Type and Count

Requesters can now edit setup type and count for individual bookings. When editing the setup count, Mazévo will limit them to changing the number to an amount that the room can hold if you have defined the room's capacity.


Requesters Can View and Add Secondary Contacts to Events 

A requestor can now view the secondary contact on an event. They can also add a secondary contact to an event that doesn't have one.  


Requesters Can Now Move Bookings to Rooms in Another Building 

Previously they could only update their bookings to rooms in the same building 


Resources Now Grouped for Requesters 

If you are using resource groupings to organize your resources, these will now display to the requester. Previously only an event planner would be able to see the resource groups.  


Other Updates

Changed Color of Events in Combo Rooms 

Events booked in a combo room will appear lighter in the room components than they did previously. This should make it easier to distinguish which room the event is in at first glance.  


Contact Phone Number Now Displayed to Operations Staff

When viewing a booking in Manage Operations or in the Mazévo Mobile App, you will now see the contact's phone number.


New VIP Indicator on Daily Ops Report 

When viewing the daily ops report, you can now tell which events are VIP events.  


Updates to the Banquet Event Order Report 

  • The BEO will now print service orders on separate pages if desired 
  • The Event Coordinator and their title will now display in the header of the BEO 
  • A new footer is displayed that indicates the date, time, and initials of the person who generated the BEO 
  • The BEO header information will now display on each page 


Discounts Now displayed on Revenue Analytics Report 

The revenue Analytics report now has a column for gross amounts and discount amounts. The Amount column has been renamed to Net Amount.  


New Amount Columns in Analytics Report 

When reporting on revenue, you will now see columns for gross amount, discount, net amount, tax, service charge, and total revenue. 


Various Bug Fixes

New Academic Integration

With this update, colleges and universities can transfer course information directly to Mazévo through the Mazévo API (Application Programming Interface). Previously course information had to be uploaded via a text file as a manual process.


Limit Requests for Inventoried Items to Your Total Inventory.

Mazévo will now limit requests for inventoried resources so you can't request more of an item than the total in inventory. The maximum allowed is also displayed to the requester. For example: if you have a total of 20 chairs, a requester would never be able to select more than 20.

Better Event Questions, Book Updates, Improved Internal Emails & More

We have been keeping our software developers busy lately! This update includes a list of enhancements to Event Questions and other changes suggested by Mazévo customers.

Event Questions

New Event Question Sort Order

You can now choose the order you want event questions to display to requesters.


New Dependent Questions

You can now have questions that will appear based on how you answered a previous question. For instance, you can ask, "will food be served at the event?" If the answer is yes, two other questions could appear to collect more detail. Example: What kind of food will you be serving? Where are you ordering food from?


Event Planners Can Now Submit Answers to Event Questions

If an event planner is scheduling an event on behalf of someone else, they can now enter a response to event questions. Previously they could only enter answers to questions that they manually added. They can also edit or change responses to questions that requesters submitted.


Event Questions Now Display in Find Events

You can now filter and search for events based on event questions.


Updates to the Event Book

New Ways to Filter Rooms

You can now choose to see only rooms with bookings, only rooms without bookings, or specific rooms in the event book.


Add Past Events From the Book

You can now add events that occur in the past while in the event book. Previously you would have to use the Add New Event function to add a booking for a time-frame in the past.


Email Updates

Automatically Send Copies of Confirmation Emails to Departmental Email Address

When you send a confirmation to a customer, you can now have a copy of that confirmation automatically be sent to a departmental email address. Previously Mazévo would only send a copy of the confirmation to the user who sent the confirmation to the customer.


Opt-Out of Receiving Copies of Confirmations

Individual Event planners can now opt-out of receiving copies of the confirmations that are sent to their customers.


New Request Notifications Are Now Sent to Department Email Address

Previously these notices were only sent to individual event planners


Scheduled Email Messages Can Now Accommodate up to 3,000 characters.

Previously the limit was 1,000 characters.


New Variables for Scheduled Emails

You can now include the first booking room and first booking end time in the subject or body of scheduled emails.



Drill Into Specific Events

You can now open events from Analytics & Resource Usage Reports with a click. Previously you could see the individual event, but you had to enter the event number to open it manually.


New Sort Option for Daily Ops Report

There is a new option to show a combined list of events happening in different buildings.


We removed the "People" Column from the Daily Ops Report

We did this for the sake of clarity.


Other Changes

Find Invoices - New Column for Organization Type

There is a new column in Find Invoices to display organization type.


Find Invoices - Export Event ID

When exporting invoices to Excel, the report will now include the Event ID with the other event information. Previously Event ID would not display once exported.


New Setup Style Icons

There are four new setup style icons to select from.

Add Logo and Messaging to the Login URL for Your Organization

With this update, you can now include your logo on your organization's login page. Please contact Mazévo support to enable this feature for your organization.


SSO Updates

We made several enhancements to SSO to accommodate various Mazévo customer configurations.


Bug Fixes

The following issues are fixed in this release

  • In specific instances, special dates were displaying on the wrong date
  • Resource notes added by a requester are now displayed
  • Deleted deposits are no longer shown on the confirmation
  • The blank page printing at the end of reports has been removed
  • Deleted resources are no longer counting against inventory use
  • Mobile ops users can now view room diagrams that are PDF files

Messaging Updates

New Ability to Customize System Emails.

You can now customize the text in the following emails for your organization.

  • Confirm Email
  • Confirm Email Change
  • Email Address Changed
  • Forgot Password

This gives you the ability to adapt the messaging for your organization and let your users know who to contact if they run into questions or problems.  

You can also now add your organization's logo to these emails.


New Login URL for Your Organization

You can now direct your users to go to a login page that is specific for your organization. (i.e.,  www.your-org.mymazevo.com). This will allow you to add your logo and control the messaging that appears when logging into Mazévo.


New Login Alert Message

Global administrators can now add a custom message that will appear for all their users when they log in to Mazévo.


New Text Formatting for Scheduled Emails

You can now format the text and add web links to your scheduled emails.


Public Calendar Updates

Requesters can now add and edit calendar details

We recently introduced calendar details which means you can include an event description, images, and links on your public calendar. With this update, your requesters can now add these details to their events. 


New Review Calendar Details Tool

A new tool allows you to review calendar details submitted by requesters before publishing them to your public calendar.


The Public Calendar Now Shows Related Bookings

When viewing an event's details on the public calendar, a new "Other Bookings" tab shows all future bookings for the event.


Calendar Setting Name Changes

Calendar Properties are now named Calendar Details.

Calendar Filters are now named Calendars.


Other Changes

Show or Hide Notes when Setting the Order of Resources

A new check box allows you to display or hide notes when setting the sort order of resources on a booking.


Turn Off Automated Request Approved or Denied Emails.

When a request is approved or denied, Mazévo will immediately notify the requester of the change. You can now turn off these automated notifications, giving you more control over the timing and messaging to your requesters. Please contact Mazévo Support if you want to turn off these email messages for your organization.


Updates to Single-Sign-On

This update includes several enhancements to single-sign-on to make it easier to configure for your organization, including automatically setting requester access based on their role within your organization.


Various Bug Fixes

We eliminated several bugs in this update that may have affected your scheduling enjoyment. 😀
